Drawing Management

The PACE team has revised the Drawing Management guide. The new edition can be found here. It's been approximately two years since the original guide was released and since then there have been a variety of changes to the way Ledcor manages drawings. They are fairly minor, but they do attempt to increase efficiency. If you're already familiar with the drawing process and are comfortably managing drawings on your project then this guide will only be for review.

Printing Checklists

When using the quick print feature to view your checklists, you may want to use the "Report To Generate" dropdown menu to select: Checklists [Detailed, Grouped by Each Number]. This report type will include the attachments you placed in the files tab. The defulat report type will not.

Using Ledcor's new file structure.

This guide shows the difference between the old and new file structure. It's a good resource to use when filing documents because it will show the new home for all files.

Uploading Submittals in Bulk

This guide can be used if you'd like to upload over 100 submittal registers to your project using Excel.

No Courtesy Copy Tab? How to distribute in Prolog:

Not all forms in Prolog have a 'Courtesy Copies' tab available. One way to distribute a notification to multiple recipients is by using the Quick Print feature found in the top right of all forms (printer icon). Once selected, there's an email option that allows you to send the document to as many contacts as you'd like. The PACE team recommends using Distribution Lists if you're likely going to be sending notifications to a specific group of people more than once.

Adding new contacts to a company that already exists on your project

Users can navigate to the Project Directory and click the blue open button next to a contact's name. This will take you directly to that contact's company information page, which saves you the trouble of having to go and manually search for that company in the 'Company Setup' area.

Avoiding Duplicate Contacts

It's important to follow these instructions when adding contacts to Prolog. Do not use the 'Create a Contact' on-the-fly feature that can be found in each form. The contacts created there will not be linked to your project!

Sending notifications to contacts that are not entered in Prolog

You may come across a case where you'd like to send a notification to someone that is not entered as a Prolog contact. When in any Prolog form, click the 'Quick Print' icon in the top right-hand corner of the screen (printer icon). Click the Email icon and then 'New' in the 'Recipient Contact' tab. Skip the Contact & Company columns and just enter the recipient's email in the 'Email' column. Remember to also CC the project email. (Your project #@ledcor.com)

Avoiding duplication of files in Box

Box Drive and Sync will allow users to right click the file they're about to work on and select 'lock'. This lets other users know that the file is being used, which will ultimately cut down on possible file duplication.

Attaching completed submittals to the 'Files' tab of 'Submittal Registers'

Before closing a submittal register, attach the final draft of the submittal to the 'Files' tab. Prolog will then publish a copy to your project's EXT Box folder.

Adding Ledcor employees to Prolog

There are several different Ledcor companies listed in Prolog. Ledcor employees should only be added to one of those companies (The one with the CompanyID: LEDCOR). To add Ledcor employees to Prolog, click 'Company Management' in the navigation pane, followed by 'Company Setup' and 'View My Company'. This will ensure you're adding Ledcor employees to the correct Ledcor company.

Using the 'Save and Exit' button

When you've completed your RFI, Safety Inspection, or any other form in Prolog, the best way to save your work is by clicking 'Save and Exit'. Users that do not click 'Save and Exit' and just click 'Save' and manually close the form window may accidentally close the window without having their work saved if they miss a mandatory field. 'Save and Exit' will never close the window until the work is truly saved (the mandatory fields have been filled).
